We were on vacation last week so I did not take any deposits for reservations that came in while we were away. Yes, because there was no deposit I got both a phone call and an email telling me to cancel a rez for this weekend. The insouciant attitude was that I should 'release the room for another guest' and no mention at all of knowing the deposit was forfeited as I stupidly hadn't taken it when I got home.
Next time I pack the cc machine!

Or take Square to use with your phone or tablet. Or take the deposit automatically through the res system when the res is made.
(I know you have reasons for not doing the above routinely, but might be worth doing it when you're away from the inn.)

Can't you charge it now? They agreed to it in their online reservation..

Yes, I could, but I really hate fighting these things after the fact.
Arkie - perfect use for a square account. Thanks! We'll be gone 3 weeks next year so better to plan ahead for that and see if it will work with my tablet.

Yes, since the equipment and software is free and you only pay when you process a charge (no recurring fees whether you use it or not) there's no downside to having it, just in case.

Very good use for Sq and less bulky than bringing the cc processor.
And BTW, I just did a comparison of all my charges this year. After all the fees added to the % rates, I would have saved over 2% had I used Sq for all my transactions if swiped, 1.5% if all keyed.
