I need to make adjustments to some of the forms that I use. And I'm sure that others may need forms as well. So, I wondered if some of you might help by telling me what you have on your different forms. I obviously need more and more formality to some of them, so here's what going on....
And to start, I have two standard forms that we use all the time. One for those who arrive at standard arrival times and a slightly different one for those who arrive after check-in time.
The standard arrival has the room name on it. Their pass code for the door. Number of guests. Arrival time. And the parking situation in their regard. And of course their name, so I know who to check in. Because it has their code, we don't like giving it to them.
The after hours check-in form has their name. The room name. Arrival time. their personal code and the number of guests. It has the parking information, the wireless password, how to tell us what time they want breakfast.
I also put a bill in their room that asks them to settle ASAP, but that part seems to be ignored.
So, I was thinking that maybe I should make the form differently. Maybe I should actually have their folio attached? Or the amount owing, to settle the bill? We usually settle before they leave, but maybe I should insist on arrival? Or tell them as soon as they settle in? What do you think I need on the form?
 
We have them pay on arrival and hardly ever would differ from that. Had people with cards that would not work and I do not need the extra stress when they are rushing to the airport. We do not do self check in. If you have them self check, insist at the breakfast to settle up.
 
For those checking in after hours I run the card in advance. We've had late arrivals also be early leavers.
If I wasn't going to do it that way, I'd attach the bill to their info sheet and ask them to handle it after breakfast in the morning.
If your confirmation already states payment due on arrival they'll know what to expect and the 'see us after breakfast' should explain how to go about it.

Ah. Yes, hand it to them. I have a lovely set of instructions on the bed for WiFi, breakfast and where to locate us. Everyone moves it, no one reads it.

We put that on a sign in the room. They still ask for the WiFi password anyway. But we have a sign with a lot of info in the room and a surprising amount of people do read it.
 
Don't you already have a cc from the deposit?.
We don't take a deposit. But we do have a CC on file. We don't like to process without the physical card here. Many of our clients have EMV cards. I can run an auth on their card ahead of time, if I really need to. But we want the card present when we process. I don't like CNP, too easy to challenge.... you can't challenge EMV in the same way.

Sometimes they don't yet have local currency, so we haven't pressured them about it. To give them a day to get local currency, for those who want to pay that way.

I hear you. Make very clear on the confirmation that the payment is upon arrival. Most of our cash paying guests have it ready when they walk in. Have to say, I sleep better when they pay as they arrive. At our B&B home I may be more flexible but our self catering places I I will not give them the key until they pay.
