This is what I got back when I reconfirmed a week long reservation.
When were they planning to tell me? The day before?
Good thing I do Reconfirmations for long stays a month in advance.
Because the reply was almost immediate, these people knew awhile ago they weren't coming.

My 3-month cancelled 2 weeks before arrival - she was re-assigned somewhere else. Bummer as it would have taken me through the DEAD of winter.

Why I really don't like bookings very far in advance.
Not knowing how far in advance this one was, just speaking in general.
People forget they booked so forget to inform you.

Good idea to make contact well in advance; saves grief on both sides.

Good idea. ResKey, and probably others, make it so easy to write e-mails like this at the time they reserve, and schedule it to go out when you want it to. Then you can forget about it.
Or do you reconfirm by phone?

11 months in advance only here, and they beg for the 1 year mark and we always eat it when they do, always. Knee jerk reaction "we better reserve ahead for next year!" One lady this past October how NO IDEA WHO WE EVEN WERE! I will remember that trick. Except, how did we GET YOUR CREDIT CARD information ye old bat, er lovely sweet old lady? :)

Terrible! Sorry to hear that! I hope you had a good deposit....My standard response, "Oh well, we probably wouldn't have pleased them and they would have written a bad review anyways." Always look on the bright side since it makes life nicer for you, even in very tough times. (even when there seem like nothing goes right) Been there, done that!

This rez was made 7 months in advance. I like the idea of setting up auto emails to go out x number of months after the rez was made and then again x number of days before arrival.
We do year in advance for our repeats as they walk out the door. The online calendar is open at least a year in advance. After the usual suspects rebook I'll open the calendar up until the next group of usual repeats is due to arrive.
Which means I need to get to work on next year's Feb.

i have mine turned off, there was a snafu and won't send out auto emails ever again. I am once bitten twice shy on that issue. What a mess it was!
Oh yeah, I forget to go and adjust and some slip by or in.

JB, you could set it up where you get a copy of what was auto sent. If you have them placed a certain intervals - x weeks prior/ y days prior - you could double check your res calendar to your bookings and know they were auto sent. Then delete.

The problem is that there is no way of knowing that the email reached the guest (through reskey) if done via your email addie, at least you get notice of wrong email addies - that is unless someone else has it.
One thing is for certain, technology is not 100% without a glitch...

I do not do deposits except on elopement packages. She was well within the cancel period so it was no sweat. She was told up front there were some nights in April that she would have to find another bed as all rooms were already booked. She is a Visiting Nurse so the reassign is probably the truth. Ce la vie.

This sounds odd but if the rez gets cancelled do you have to also cancel the auto emails or does it all happen together? I know if I cancel a rez with a reminder the reminder has to be canceled separately.

It should remove it from the queue. That is how it is designed to work.

Yes, when you cancel a reservation the queued e-mails go away. I BCC myself on most of the e-mails just so I know they're going out, and to remind me of what the guests are getting.
