I have our rez system set up to send a 'confirmation of receipt' email when a rez is made. Tired of fielding phone calls and emails asking if the rez was received when I hadn't even had a chance to look at the computer yet.
Anyhoo, got an email last night from someone who made a rez last night and who received the 'confirmation of receipt of rez' email asking me if their reservation was confirmed as they cannot read the email that was sent.
How do I reply to them if they can't read the email? Not sure if their email filter blocked the text of the email, if they can't read English, or what.
I've just had 3 days off and I'm already back in high stress mode. Too much to do today and no energy to do it!
 
I would send another email and in the subject box write, "Yes, your rez is confirmed" etc. so at least they get that part if they can't read the rest of the email.
Eat some inspiration, better known as chocolate and get to work…. You can do it! We are all behind you cheering you on!

Too weird. How can you email them when they can't read your email?
agree with Duff, put the main info in the subject line.
 
I sent the confirmation with the info in the subject line. I replied back to the email they sent. If that's not enough, they'll have to call.
Now going to update the email to mention the office hours.

Yes, that's what we have. Still get guests showing up on the wrong date insisting they are right and I am wrong.

I try to have everything with the name of the month. Date order is different here from there, so I don't want them to make a mistake that way.
 
its why we do Wednesday 23rd of July 2016 for 1 night - people often get days and dates wrong - "oh i meant the friday or whatever

That is why in the subject line it is September 10, 2016 and in the body of the letter it states arriving Saturday, September 10 and departing _________
 
Does anyone copy the emails to guests to themselves to verify how the reservation system responds?

Every email. Except that one that goes out saying we got your reservation, give us a chance to respond to you. However, I have had guests respond to it so I can see what it looks like.

I have co workers, friends and family that are inundated with email. One employer rarely checks his email, and he gets 100's a week. Email him? Good luck getting an answer. I have people complain they didn't know about whatever ... even though I'm sending out emails like crazy.
But I can reach them via text.
Always. Or nearly always. And most have it set so a little ping goes off when a text comes in.
They always have their cell phones handy.
I resisted keeping mine at my side but it's become the 'I've fallen and I can't get up' thing ... elder friends' kids ask that they keep their cell phones with them. My own kids say 'Mom - we texted you - where WERE you?'
I would offer that TEXT option, you'll need their number of course. (I'd send the email as well)
Make up a simple text to use all the time - Your reservation at xyz is confirmed for ........... check in is from 3 to 7. Directions are here (link) See you then.
They probably have software that will do it for you I don't know

I can do this via the computer. I'm going to have to make mobile numbers required. I seriously can't afford a smart phone.

Had this conversation with another innkeeper just today. Too many emails now. Many have high end filters that bump 'canned' to spam folder. And/or the guest enters a trash email addie that they never read.

TEXT is an option but remember there are many like Mort that do not have a smart phone and there is no way of knowing if the TEXT was received or not unless they are asked to reply. After having a late arrival not get their code because they did not have TEXT, I have now added, 'please reply with your name so I know this was received. Of course there as some that get no further than the code number (sigh) and I end up calling anyway!

Up until this summer I never gave guests our mobile number. They could email or dial up the land line where we have a machine taking messages if we are not available.
After texting one returning-guests couple I soon regretted it! It seems a text is just too easy to send...they must have used it 20 times for a variety of niggling things. So no more texting guests for us!
 
If they phone, I tell them their confirmation will come by email. So far, pretty good. In the email I do give the cell# and encourage them to text with any additional questions. The need to actually spell out what they want cuts down the amount of 'chit chat' plus there is a written record of the 'conversation'. Plus no running to the phone for me. That text sound can wait until I have the breakfasts out the door, or can complete a small task.

Because this is a big concern for me (no down time and immediate response expected) I'm not sure how I could handle texts.
If someone can very easily text at 1am would they not expect an immediate response? Rather than saying to themselves, 'this can wait until morning if I have get out of bed to ring the bell for help'.

see I don't really get texts from on the premises guests but have about 6 regular chaps who text with the next set of dates they need and so on. I like it as have a written record of what they said they wanted and I don't have to try and write it down at the supermarket and so on.
 
I like having the word "Confirmation" in the subject line.
Also, be aware some guests have their spam filters sent to very high sensitivity. Because we use Constant Contact, we occasionally have guests find that their spam filters have sent our confirmation emails into their junk mail folder.
