Ok, new computer challenge done (Gomez has commandeered it, I'm back to using the old one), on to next thing on my list.
New booking software. What I want it to do:
  • Easy to use for guests
  • Ability to run reports, both accounting and guest info retrieval
  • Ability to create packages that show the guest ONE price and don't break the package into 'room' + 'add ons'
  • Ability to integrate with OTA calendars
  • Ability to pull my old data in from my present system (I understand a certain amount of data loss occurs so I'm planning to keep my old system and manually transfer the most important data - guest notes) Losing 12 years of guest history is what will hurt the most so I need to be able to go back and retrieve that.
  • It has to have the calendar feature available to guests. As a guest I refuse to enter date after date to find Availability.
  • Color coding on my side so I can code by color things like: dietary issues, OTA guest, package or add on, other
  • Hover feature that opens guest data without opening the whole record
  • Guest records include all stays, not just present stay
  • Flagging possible guest match on new reservations

Hmmm, so RK is constantly being tweaked ... but methinks all of these needs can be met.

I would assume most/all systems are a database and should be able to transfer information most likely with a CSV file, different systems may have different size data fields or store data in a different format, but you should be able to save your current data in a spreadsheet and if needed tweek it a bit to fit the format of a new system before importing. Tweeking the data may include changing the order of the fields or data type to fit the order and type used by the new system, you should not have to lose data.

I have been using RK for several years and generally like it but have been having some issues with functions we use or need and am looking at other systems right now too. Having said that Morticia, it probably will meet almost all of your needs and is a very cost effective solution. I am making some comments above in the quote of your original text, using all CAPS

Sorry, I have the package as an Item For Sale and then go in and delete the room rate BUT, I just thought of the solution - take the room rate out of the package but leave the rest as one charge, I always have 3 or more items in my packages (room +2 things) so they cannot deduct out for cost per item. Room rate is posted anyway. Will have to change that tomorrow.

Can you tell me how you do that? I've tried several times but could not figure it out.

For my clients, we have room rate separate from package. I set up items for sale and create say a romance package with roses, candy and massage for one price.
guest can choose their package and room separately. Works fine.

I have been using RK for several years and generally like it but have been having some issues with functions we use or need and am looking at other systems right now too. Having said that Morticia, it probably will meet almost all of your needs and is a very cost effective solution. I am making some comments above in the quote of your original text, using all CAPS

For my clients, we have room rate separate from package. I set up items for sale and create say a romance package with roses, candy and massage for one price.
guest can choose their package and room separately. Works fine.

I would stay clear of Reservation Key. I have had it now for several years and am now looking to find a different company. The owner of RK has come to the conclusion he knows what's best and what is needed more than the Inns that run their business. It has left a bad taste in my mouth and it's time to move on for us. It's a great option for the money each month but I'm constantly running into problems and issues that the owner of Reservation key won't take the time to fix. His thinking is to find ways to make it work and he will get to it when he can. Like I said, it's a usable software and good for start ups. I just want more out of my Reservation program. I want it to work for me rather than work to make it do what I need it to!

Why would you want 12 years of guest records? How many of those actually come back? Or are on your donot book list?.
I don't have a spreadsheet of guest data and that's part of the problem. A data dump would be enormous.
I'm figuring I will just do a search on who has been coming for years and copy thos records by hand.
I need it mostly for who gets what perk. But that's all in the guest notes, which probably won't transfer no matter what.

RK John accepted 8 years of data from us and converted it for free. Poppa imported it to Excel as suggested here.
If you don't have a way to download or export, it won't matter which new reservation system you choose, anyway.

What I did was to create a mandatory box that asked "Have You Stayed With Us Before?" with two radio buttons "yes" & "no". If they clicked the "yes" button I would look up their old info and input it into the new system. We have a lot of repeats but it turns out that their stays are so spread out over the year it just wasn't a big deal to hand input them into the new system.

Be realistic why do you need 12 years of data? Download the file from your current system and see what you've got first. Then you may be able to weed it all out and come up with the ones you really need to keep. I also like that idea of having a check box for new or returning guest.

We use a mandatory Drop-down list that asks "How did you find us?". Repeat Guests are an option. Then as we RK users know, you can simply do a search and combine previous visits.
I also use the color-coded symbols and for us, a blue star means repeat. Other examples of flagging symbols we use: Various packages, dietary restrictions, late arrival, single guest, Trip Advisor, Gift Certificate, etc. Tons of possibilities, all appearing on the Reservation Manager chart.
