If you have set up Square on RK can you explain how that works?
  • Does it take an automatic deposit? Can it be set to do that?
  • Do I have to set up a payment section for that to work? Or is this completely separate?
  • Once the guest has checked in (or before) would I be able to take the balance online?
  • Does anyone know what Square charges in this scenario? Same as card present? Same as card not present? Somewhere in between?
  • If this is set up does that mean the credit card number does not come thru at all?
 
I will let the techie ones truly answer, but for now I know that Square has an invoice you can send to the guest to input the cc# and that is treated as card present - you never touch the card as it is done on their (Square) server.
 
I can't answer your question on Square as I don't/never used Square, however perhaps I can offer comments that may be useful.
Our credit card machine (on desk) is through Wells-Fargo, Authorize (on line) is set up through the same bank, I find them reasonable.
When a guest reserves online (or I manually enter a card online) the guests card information is no longer visible to me and I have a "token" that allows future charges to that card through the system. I'm set up such that when a reservation is made a deposit is taken, you can choose the amount, I chose a small amount mostly to verify the card, when my guest arrives the machine on desk reads the chip. The way I use it, really 2 different systems, the bulk of the money received when the chip is read proving the card was present (doesn't have to be same card, can be cash) then I manually post that payment in RK

I can take the balance online, although I prefer to let the desk machine read the chip and usually only charge the deposit or a no show through the online system.
For safety reasons I don't want to have the guests card number, I never see it if they book online (just the token), if the number is given to me, I enter online, get the "token" and immediately shred the information that had been given to me on the phone.

Hi. I don't use this method but did see someone posted in the RK forum yesterday (2/14) about using Square with RK. John posted a link to a video in one of his replies to that post. Hope it will help you.
